Most teams can find a COA. Fewer can answer which customers received the lot, who approved the evidence, and what supplier packet supported the release.

Thesis

A folder of COAs helps after someone already knows what to search for. An order-level evidence ledger helps before the scramble: every released order points back to the source evidence, its limits, and the person or workflow that reviewed it.

Document storage

API, SKU, compound, or product identity connected to the order.

Batch, lot, or supplier lot value used for recall and dispute lookup.

COA

Certificate, report ID, file name, lab path, or source document reference.

Supplier diligence packet, memo, or upstream evidence record.

Reviewer

Person, role, or workspace that reviewed the evidence before release.

Draft, source review, ready, delivered, blocked, or archived.

Evidence rows

What was present, missing, conflicting, or could not be verified.

What can be shared externally without leaking internal notes or overclaiming.

Audit trail

When the record changed, who touched it, and what the next action was.

One production release event per order, lot, and product identity.

Missing fields do not fail the record automatically. They become explicit gaps before reliance or customer delivery.

From supplier packet to customer proof.

The Evidence Passport is not a public COA checker with a different name. It is the operating layer that connects supplier diligence to customer-facing proof, recall lookup, dispute handling, and account history.

Intake

Capture the order and source documents. Order export, COA, supplier packet, buyer reference, reviewer, and notes are staged in one workspace.

Keep the source chain attached. COA fields, supplier packet references, file names, hashes, gaps, and limits remain linked to the order record.

Human QA gate

Separate useful evidence from overclaiming. Memo-safe language is reviewed before customer delivery. Documentation support is not treated as product certification.

Release only the customer-safe proof. The customer sees lot, COA state, evidence rows, and limitations. Internal notes and commercial fields stay private.

Recall and dispute mode

Search the lot and see the affected records. The ledger can show which orders, buyers, COAs, supplier packets, and unresolved gaps share the same lot or source.

The document set met the configured policy. It describes the paperwork, not the medicine.

The issuing laboratory confirmed issuance through the recorded verification route.
